This Privacy Policy explains how Phoenix MedTech Services Incorporated (“we,” “us,” or “our”) collects, uses, and protects information when you use our response-team scheduling and operations application (the “App”). The App is provided to organizations (such as first-aid and emergency response teams) and their members to manage availability, scheduling, events, training, and volunteer hours.

By creating an account and using the App, you agree to the practices described in this policy.

Who this policy covers

The App is used by members of organizations that have adopted it. When you sign up, you join your organization within the App. Your organization's leadership uses the App to coordinate your team's operations. This policy applies to all users of the App regardless of organization.

Information we collect

We collect only the information needed to operate the App:

Information you provide when you sign up and use the App:

• Your name (first and last)
• Your email address
• Your phone number
• Your organization name
• Your availability, event sign-ups, training participation, and logged volunteer hours
• Any notes, reports, or comments you submit through the App's features

Information collected automatically:

• A push notification token (a device identifier used only to deliver notifications to your device)
• Basic technical information necessary for the App to function

We do not collect location data, payment information, contacts, photos, or advertising identifiers.

How we use your information

We use your information solely to provide the App's functionality, including to:

• Create and manage your account
• Let your organization's leadership approve and manage members
• Coordinate schedules, availability, events, and training
• Track volunteer and participation hours
• Send you notifications relevant to your participation (for example, schedule reminders, approvals, and event updates)
• Enable members and leaders to contact one another for operational purposes (for example, showing your name and phone number to teammates on a shared roster)

We do not sell your personal information, and we do not use it for advertising.

How your information is shared

Your information is visible within your own organization according to your role:

• Your name and phone number may be visible to teammates and leaders for scheduling and coordination.
• Certain information (such as participation records and any notes about your activity) is visible only to authorized leadership roles within your organization.
• Your information is not shared with other organizations using the App.

We use trusted third-party service providers to operate the App:

• Supabase — secure database and authentication hosting.
• Expo — push notification delivery.
• Apple and Google — app distribution and, for Android, push notification delivery (Firebase Cloud Messaging).

These providers process data only as needed to provide their services. We do not share your information with any other third parties except as required by law.

Data storage and security

Your information is stored securely using industry-standard practices, including access controls that limit who within your organization can view particular information. Access to sensitive information is restricted based on role. While no system can guarantee absolute security, we take reasonable measures to protect your data against unauthorized access.

Data retention

We retain your information for as long as your account is active or as needed to provide the App to your organization. If your account is removed or your organization stops using the App, associated data may be deleted. You may request deletion of your personal information (see “Your rights” below).

Your rights

You may:

• Access and update your profile information within the App.
• Request a copy of the personal information we hold about you.
• Request deletion of your personal information.

Children's privacy

The App is intended for members of response-team organizations, who are generally adults or older youth participating in organized team activities. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above. Continued use of the App after changes take effect constitutes acceptance of the updated policy.
